Each slide in your PowerPoint deck can have some notes associated with it, and these are placed in theNotes Pane area. Do you want to print all these slidenotes? Yes, you can. However, very few people realize that you can print these notes in the form of a properlystructured Notes Page. This might be among the least usedPowerPoint options, but this certainly is among the most useful ones!

Incidentally, even the small number of people who print Notes pages never realize that the look of their printed Notes pages can bemodified within the Notes Master. Any change you make within the Notes Master view affects the look within Notes Pageview and the layout of printed Notes pages. Do note though that these changes do not influence the appearance ofthe Notes Panein Normal view.

You can access the Notes Master view by selecting the View tab ofthe Ribbon, and then clickingthe Notes Master button (highlighted in red within Figure 1).

This opens the PowerPoint 2016 Notes Master view, as you can seein Figure 2.

The Notes Master contains several placeholders, plus also the background area that can be modified as required. These are allexplained below, as marked in Figure 2:

  1. The Slide itself
  2. The Notes area. These are the same notes that you see inthe Notes Panewithin Normal view.
  3. Header placeholder
  4. Date placeholder
  5. Footer placeholder
  6. Number placeholder
  7. Notes Page Background, This is not a placeholder! You can apply a picture background or change the colors as peryour company branding. Additionally, you can also place a company logo or any other element within the background area (this isexplained in the next section).

You can do the following tasks within the Notes Master:

  • Select any placeholder and delete it by pressing Delete key on your keyboard.
  • Reposition placeholders by dragging them to a new position.
  • Resize the placeholders.
  • Format placeholders by using the tools on the Ribbonor menus.
  • Add pictures, SmartArt, clip art, or any other kind of slide objects that you want to display in the Notes view, or when Notes areprinted. Do note that these slide objects (anything you insert other than the placeholders that were already available in the NotesMaster) will not be editable for individual slides. Make sure that any individual objects you add are sent behind all theplaceholders, to do so, select the object you inserted, then right-click and choose the Send to BackSendto Back option in the resultant contextual menu, as shown highlighted in redwithin Figure 3, below.

Make the changes as required, and choose any of these options to get backto Normal view:

  1. Access the Notes Master tab on the Ribbon (highlighted in bluewithin Figure 2, shown earlier on this page), and click the Close Master View button (highlightedin red within Figure 2, shown earlier on this page).
  2. Access the View tab of the Ribbon, and click the Normal button.
  3. You can also click the Normal button located onthe Status Bar (highlightedin green within Figure 2, shown earlier on this page).

Soon after power users install a new application, they want to customize their menus and toolbars so that their most often used commands areaccessible with fewer clicks, or even custom keyboard shortcuts. And even if you are not a power user, you should explore a very useful option that weexplain in this tutorial, this will make your tasks easier, and quicker.

PowerPoint has no toolbars other than the Quick Access Toolbar. Almost everyone who uses this toolbar just calls it theQAT, and that's the name we will use for the rest of this tutorial. The QAT's raison d'être is customization, and all optionsavailable in the QAT may be available elsewhere. However, populating the QAT with your favorite commands is a great way to have them more easilyaccessible.

By default, the QAT can be found right above the File tab and the rest of theRibbon tabs, as shown highlighted in redwithin Figure 1. Also, the default commands you can find within QAT are Save, Undo,Redo, and Start from Beginning. You can add many more of your often used commands to the QAT.

You can continue adding more commands to your QAT through customization. As you can see in Figure 1, the area where the QAT isplaced is not too large enough to hold more than a few commands, when you have more commands added to the QAT, you'll have to click the double arrowbutton placed on its right (highlighted in red within Figure 2, below) to see them. This brings up adrop-down menu showing these extra commands, as shown highlighted in blue within Figure 2, below.

As you can imagine, this entails an extra click and is not such an elegant solution. Fortunately, you can place the QAT under theRibbon tabs so that it has more screen estate, and can thus sport more commands. To do that, right-click anywhere on your QAT to bringup a contextual menu (see Figure 3, below). Within this menu, select the Show Quick Access Toolbar Below the Ribbonoption.

This places your QAT below the Ribbon, as shown in Figure 4, below (compare with Figure 1,previously shown on this page).
